1. Veri sorumlusu

Defter; muhasebe büroları ile mükelleflerin belge, onay ve beyanname süreçlerini yürüttüğü bir platformdur. Mükellefe ait muhasebe kayıtları bakımından, hizmeti alan muhasebe bürosu ayrıca kendi mevzuatı kapsamında veri sorumlusudur; Helenium bu kayıtları büro adına işler.

2. İşlediğimiz veriler

• Hesap bilgileri: ad soyad, e-posta, şifrenin geri döndürülemez özeti (hash), rol, iki adımlı doğrulama ayarı; Google/Microsoft ile girişte bu hizmetlerin paylaştığı ad ve e-posta.
• Firma bilgileri: unvan, vergi/T.C. kimlik numarası, şirket türü.
• Belgeler: yüklediğiniz veya e-posta/WhatsApp ile gönderdiğiniz fiş, fatura, dekont görüntüleri ve bunlardan okunan bilgiler (tarih, tutar, KDV, satıcı, vergi numarası vb.), onay/ret ve mesaj geçmişi.
• Ödeme ve vergi kayıtları: vergi ödeme kalemleri, dekontlar, beyanname taslakları.
• İletişim kanalları: belge göndermek için kaydettiğiniz e-posta adresi veya telefon numarası.
• Cihaz ve kullanım: bildirim jetonu (push token), IP adresi ve güvenlik/denetim kayıtları (giriş, onay gibi işlemler).

Reklam kimliği toplamıyoruz, verilerinizi reklam veya profil çıkarma amacıyla kullanmıyor, satmıyoruz.

3. Amaçlar ve hukuki sebepler

Verileri; hizmetin sunulması ve sözleşmenin ifası (KVKK m.5/2-c), hukuki yükümlülüklerin yerine getirilmesi (m.5/2-ç), güvenliğin sağlanması gibi meşru menfaatler (m.5/2-f) ve gerektiğinde açık rızanız (m.5/1) kapsamında işleriz.

4. Yapay zekâ ile belge okuma (Google Gemini)

Belgelerinizdeki bilgileri otomatik okumak için belge görüntüsü Google LLC'nin Gemini yapay zekâ hizmetine gönderilir. Bu işlem yurt dışına veri aktarımı içerir ve açık rızanıza dayanır (KVKK m.9); mobil uygulamada ilk belge yüklemesinden önce onayınız istenir. Onay vermezseniz belge yükleyemezsiniz; bilgiler muhasebeciniz tarafından elle girilebilir. Google, ücretli API kapsamında gönderilen içeriği modellerini eğitmek için kullanmadığını belirtmektedir.

5. Aktarılan taraflar

• Hizmet aldığınız muhasebe bürosu (firmanıza ait kayıtlar).
• Google (Gemini belge okuma; Google ile giriş), Microsoft (Microsoft ile giriş).
• Expo, Apple ve Google bildirim altyapıları (anlık bildirim gönderimi).
• WhatsApp/e-posta ile belge gönderimini kullanıyorsanız ilgili mesajlaşma sağlayıcıları (ör. Twilio, e-posta altyapısı).
• Kanunen yetkili kamu kurumları (talep halinde).

6. Saklama süreleri

Hesap bilgileri hesabınız silinene kadar saklanır. Muhasebe belgeleri ve kayıtları, Vergi Usul Kanunu ve Türk Ticaret Kanunu'nun öngördüğü yasal saklama süreleri boyunca muhasebe bürosunun kayıtlarında tutulur; süre dolunca silinir veya anonimleştirilir. Güvenlik/denetim kayıtları makul süre saklanır.

7. Hesabınızı silme

Mobil uygulamada Profil → Hesabımı sil ile hesabınızı kalıcı olarak silebilirsiniz. Ad, e-posta, şifre, iki adımlı doğrulama, cihaz jetonu ve kişisel bildirimleriniz silinir; hesap bir daha kullanılamaz. Firmanıza ait muhasebe belgeleri yukarıdaki yasal saklama süresi boyunca büroda kalır. Talebinizi info@helenium.com.tr adresine de iletebilirsiniz.

8. Haklarınız (KVKK m.11)

Verilerinizin işlenip işlenmediğini öğrenme, bilgi talep etme, düzeltilmesini veya silinmesini isteme, aktarıldığı tarafları öğrenme, itiraz etme ve zararın giderilmesini talep etme haklarına sahipsiniz. Başvurularınızı info@helenium.com.tr adresine iletebilirsiniz; en geç 30 gün içinde yanıtlanır.

9. Güvenlik

Tüm iletişim HTTPS ile şifrelenir; şifreler geri döndürülemez biçimde saklanır; erişim rol ve firma bazında sınırlandırılır, işlemler denetim kaydına alınır.

10. Çocuklar

Defter işletmelere yönelik bir hizmettir; 18 yaş altındaki kişilere yönelik değildir.

11. Değişiklikler

Bu metin güncellenebilir; güncel sürüm her zaman bu sayfada yayımlanır.

1. Controller

Defter is a platform where accounting offices and their clients handle documents, approvals and tax filings. For a client's accounting records, the accounting office providing the service is also a controller under its own obligations; Helenium processes those records on the office's behalf.

2. Data we process

• Account: name, email, a one-way hash of your password, role, two-factor setting; when signing in with Google/Microsoft, the name and email they share.
• Company: legal name, tax/national ID number, company type.
• Documents: images of receipts, invoices and payment slips you upload or send by email/WhatsApp, the details read from them (date, amount, VAT, vendor, tax ID, etc.), approval and message history.
• Payments and tax: tax payment items, payment slips, draft returns.
• Channels: the email address or phone number you register for sending documents.
• Device and usage: push notification token, IP address and security/audit logs (e.g. sign-ins, approvals).

We do not collect advertising identifiers and do not use or sell your data for advertising or profiling.

3. AI document reading (Google Gemini)

To read document details automatically, the document image is sent to Google's Gemini AI service. This involves a transfer outside Türkiye and is based on your explicit consent; the mobile app asks for it before your first upload. Without consent you cannot upload documents, and your accountant can enter details manually. Google states that content sent through its paid API is not used to train its models.

4. Who we share data with

• Your accounting office (records of your company).
• Google (Gemini document reading; Google sign-in), Microsoft (Microsoft sign-in).
• Expo, Apple and Google push notification services.
• If you use WhatsApp/email submission, the related messaging providers (e.g. Twilio, email infrastructure).
• Authorities, where required by law.

5. Retention

Account data is kept until you delete your account. Accounting documents and records are kept by the accounting office for the retention periods required by Turkish tax and commercial law, then deleted or anonymized.

6. Deleting your account

In the mobile app, go to Profile → Delete my account. Your name, email, password, two-factor data, device token and personal notifications are deleted and the account can no longer be used. Accounting documents of your company remain with the accounting office for the legal retention period. You can also email info@helenium.com.tr.

7. Your rights

Under Turkish data protection law (KVKK) you may request access, correction, deletion, information on recipients, and object to processing. Email info@helenium.com.tr; we respond within 30 days.

8. Security

All traffic is encrypted with HTTPS, passwords are stored as one-way hashes, access is restricted by role and company, and actions are audit-logged.

9. Children

Defter is a business service and is not directed at people under 18.

10. Changes

We may update this policy; the current version is always published on this page.
